PROTOCOL SPECIALIST

First Investment Bank - Albania Sha, a rapidly growing commercial bank, is looking to hire a qualified individual for the position of Protocol Specialist in Head office, Tirana. 

The Protocol Specialist serves as the primary contact and ensures that the bank's correspondence is managed efficiently and professionally, and that all incoming and outgoing correspondence is properly recorded and tracked. 

 

Responsibilities:

  • Managing the flow of incoming and outgoing correspondence of the Bank
  • Providing information and assistance to visitors or customers
  • Receiving and sorting incoming mail and sorting it according to the type of correspondence and the recipient.
  • Records the incoming correspondence and keeps track of all incoming correspondence and ensures that it is forwarded to the appropriate employee or department.
  • Routing correspondence to the appropriate employee or department for review and response.
  • Prioritizing incoming correspondence based on its urgency and importance and ensures that it is reviewed in a timely manner.
  • Responding to routine inquiries or forwarding them to the appropriate person for response.
  • Forwarding the business appointment requests to bank employees.
  • Tracking outgoing correspondence and ensuring that it is sent out in a timely manner.
  • Maintaining correspondence files and ensures that they are easily accessible for future reference.
  • Ensures that all incoming and outgoing correspondence is treated confidentially and is not disclosed to unauthorized parties.
  • Opening and keeping the respective books for incoming and outgoing correspondence. 
  • Other obligations, arising from the characteristics of the work and ordered by the direct supervisor.

Requirements:

  • University Degree. 
  • Preferably 1 year of working experience.
  • The candidate must have excellent communication, ability to work in group and to cooperate, self-control, adaptation, initiative, creativity and flexibility
  • Very good knowledge of spoken and written English;
  • Very good knowledge of Microsoft Office programs.
